Whilst your hybrid workers are physically distant do they feel close to the business… or do sloppy systems leave them feeling remote? Remote and hybrid working is now the norm, but do you have all the necessary business systems in place to ensure maximum productivity, security and inclusivity? 

It’s been a while since we’ve blogged about remote working but we’re still finding that some home and hybrid workers do not have everything they need to carry out their day-to-day tasks. 

Do you know whether your remote workers have access to the same systems and software as their office-based counterparts? Is their cyber security up to scratch? And do they feel part of a thriving team? 

If you’re not convinced about any of the above, we are here to help. 

Access 

Research has suggested that productivity for remote workers is as good as, or better than, those in the office. However, this only rings true if they have access to the same files and systems wherever they are. If staff are having to limit their activities when working remotely, or struggling to access the necessary files, not only will productivity fall, but so too will their motivation. Not to mention additional pressure that may be inflicted upon those in the office who are having to pick up the pieces. 

Make sure that your teams can get onto the vital servers whether on site, sitting in the coffee shop or within their home office. 

Software that resides on the cloud is ideal for hybrid working. Many of us will be familiar with certain cloud-based applications such as Office 365, Mailchimp, Xero, to name but a few. Most businesses will also use ‘line of business’ applications – those pieces of software that help us perform our core business; is yours cloud-based? You may also want to consider a Professional Services Automation (PSA) utility to manage jobs, time and billing; monitor productivity and ensure nothing is slipping through the gaps. 

Additionally, make sure each team member has equipment that allows clear communication such as a good quality headset with microphone and a webcam. 

Security 

It’s unfortunately the case that some remote workers still do not have the same cyber security provision as those within the bricks and mortar site. They are working with your and your customers’ sensitive data – don’t leave it exposed. 

Basically, remote and onsite workers should be using hardware and software with the same security in place. Plus, remote workers should be aware of additional security measures to adhere to when outside of the office. Finally, they need to understand their role in the fight against cybercrime within your business, and how to escalate a potential issue – they need to receive the same training (if not more) than those within the workplace. 

Inclusivity 

Are your teams using Teams? There is now ample technology available for everyone to feel included whether at the water cooler or sitting at their kitchen table.  

Microsoft Teams is used by 90% of our customers so we’ve concentrated on the functionality within it, but you can explore options to suit your business. We’ve seen Microsoft bring new features to Teams at pace, allowing collaboration to improve.  

Video conferencing software has become so much more than simply a meeting tool. Microsoft Teams also provides facilities to have online chats, ask questions and upload files. Files functionality within Teams also allows documents to be shared and edited – no need to use other software. Collaboration can take place in real time – everyone can see documents and edit as they go, and files are stored in the background within Microsoft SharePoint.   

Microsoft Teams also allows screen sharing – useful for presentations but also for support. If colleagues need help to learn show them on screen, allowing a similar learning experience to that which traditionally takes place in the office.
